Field & Logistics Coordinator

The Field & Logistics Coordinator is the backbone of our installation team, responsible for daily operational planning, field support, and inventory management. This role ensures our crews are prepared, our job sites are efficient, and our material supply chain is accurate.

Key Duties and Responsibilities:

Pre-Start Planning

  • Assess weather conditions to evaluate their potential impact on scheduled jobs.
  • Verify crew assignments, job packets, and daily plans for completeness.
  • Ensure the material list for each job is complete, addressing any shortages or missing items.
  • Coordinate with the warehouse to resolve material shortages or procure urgent items.
  • Identify and confirm material availability for jobs scheduled the following week.
  • Flag special requirements such as additional equipment or unique site conditions for upcoming jobs.

Crew Briefing

  • Conduct daily crew briefings to review job-specific plans and address any concerns.
  • Emphasize safety protocols and expectations to all crew members.
  • Ensure crews are fully equipped with necessary tools and materials for the job.
  • Distribute signed-off material lists to crew leaders and resolve any last-minute changes or adjustments.

Site Visits and Support

  • Visit job sites to monitor progress and ensure work adheres to plans and schedules.
  • Ensure compliance with safety standards and maintain site cleanliness.
  • Address any issues or obstacles raised by the crew and provide necessary guidance.
  • Ensure quality control by reviewing QAQC documentation for completed jobs, including verifying photo uploads into SiteCapture or equivalent software.
  • Confirm that completed jobs meet funding requirements.

Mid-Day Administrative Tasks

  • Catch up on emails, communications, and other administrative tasks.
  • Approvals and Weekly Planning
  • Review site capture photos for accuracy and sync them with FSO project records.
  • Verify FSO job completion with the Construction Coordinator and Scheduling Liaison, providing approval or feedback as necessary.
  • Discuss next steps or follow-ups for incomplete jobs.
  • Confirm materials and schedules for the following week's jobs, ensuring preparedness.

Inventory Management:

  • Conduct regular cycle counts, physical inventory counts, and audits to ensure accuracy.
  • Monitor and maintain optimal inventory levels to prevent stockouts and overstocking.
  • Track and record inventory movements, including receipts, shipments, and adjustments.
  • Utilize inventory management software to maintain accurate records and generate reports.
  • Identify and resolve inventory discrepancies and discrepancies in a timely manner.

Data Analysis and Reporting:

  • Analyze inventory data to identify trends, patterns, and potential issues.
  • Generate and maintain accurate inventory reports.
  • Provide insights and recommendations to improve inventory efficiency and reduce costs.
  • Maintain accurate records of all inventory transactions.

Supply Chain Coordination:

  • Collaborate with purchasing, warehouse, and Construction Coordinator.
  • Assist in the development and implementation of inventory control procedures.
  • Assist in the receiving process, making sure that received products are properly recorded.

Process Improvement:

  • Identify and recommend process improvements to enhance inventory accuracy and efficiency.
  • Participate in continuous improvement initiatives and contribute to best practices.
  • Ensure compliance with all company policy and procedures.
