Installation Scheduling Liaison

The Installation Scheduling Liaison is responsible for the efficient and accurate scheduling of installation projects, ensuring all prerequisites are met and communicated effectively to both customers and field teams. This role involves meticulous project review, proactive customer communication before and after installation, essential needed administrative support, and basic logistical coordination to facilitate smooth and timely installations and ensure customer satisfaction.
Project Readiness and Scheduling:
- Thoroughly review pre-construction projects across various stages (Pre-Construction, Job Readiness, Ready-to-Schedule) to verify the completeness of all required documentation, approvals, and prerequisites.
- Collaborate with the Funding Coordinator to confirm financial approval and funding readiness prior to scheduling.
- Collaborate with the Construction team by adhering to the established "Collaborating to Create an Install Schedule" process outline.
- Utilize Odoo scheduling software to schedule installation jobs based on project stage, crew availability, and geographical considerations.
To ensure timely planning and resource allocation, please adhere to the following new scheduling deadlines, effective immediately:
- Pick Lists & Packets: All pick lists and job packets for the following week must be printed and given to Liam by end of day each Monday.
- Customer Confirmation: All customers scheduled for the following week must be called to confirm and finalize their appointment time by end of day each Wednesday.
- Next Week's Internal Schedule: The internal schedule must be completed and finalized by end of day each Wednesday of the week prior.
- Two-Week Outlook: The schedule for two weeks out must be finalized by the end of day each Friday.
Customer Communication and Coordination:
- Proactively contact homeowners to provide tentative installation dates and estimated arrival windows for the installation crew.
- Clearly communicate any necessary prerequisites or special requirements to customers, ensuring their understanding and cooperation
Accurately relay customer expectations, specific requests, and any relevant site information to the assigned field installation teams.
- Conduct follow-up calls with customers after their installation is completed to confirm their satisfaction with the service and the installation process.
- Proactively inquire about any issues or concerns that may have arisen during the installation and document them accordingly.
Documentation and Administrative Support:
○ Prepare and submit applications for Maryland (MD) installations requiring utility shutdowns, meticulously coordinating the shutdown scheduling process with relevant utility companies.
○ Initiate and submit 811 tickets for projects involving trenching or any underground work, ensuring compliance and safety protocols.
○ Provide general administrative support to Management as needed.
Logistics Support:
○ Manage the ordering and inventory of Installation stickers.
Additional Responsibilities (as needed):
○ Proactively identify and escalate any potential roadblocks or issues that may impact the scheduling process or customer satisfaction.
